Annual/Extraordinary General Meeting
 
12.1 Annual General Meeting
 
12.1.1
The Annual General Meeting shall be held in June each year, for the following purposes:
 
  (a)
to receive from the Council, a report, balance sheet and statement of accounts of the preceding financial year;
 
  (b)
to elect a new Council for the ensuing two years at each alternate Annual General Meeting;
 
  (c)
to appoint two Honorary Auditors and two Alternate Honorary Auditors for the ensuing two years at each alternate Annual General Meeting;
 
  (d)
to decide on any resolution which may be duly submitted to the meeting as hereinafter provided;
 
  (e)
to consider any other matters brought forward in accordance with the Rules and Regulations of the Club.

12.1.2 Branch Representative
 
Each Branch shall nominate one representative to attend the General Meeting of the Club.

12.1.3 Notice of Annual General Meeting
 
 
The Honorary Secretary shall, at least fourteen (14) days before any general meeting, notify members of the meeting, stating the date, time and place where it will be held and the business to be conducted. A notice sent to each member shall be deemed effective notice to all its members.

12.2 Extraordinary General Meeting
 
 
The Council may, at any time for any special purpose, call an Extraordinary General Meeting, and it shall do so forthwith upon the requisition in writing of at least ten (10) representatives or more stating the purpose for which the meeting is required. At least half of the number of representatives making the requisition must be present at the Extraordinary General Meeting.

12.3 Notice of Resolution
 
 
Any member desirous of moving any resolution at the Annual General Meeting shall give notice thereof in writing, together with the name of his seconder, to the Honorary Secretary not less than seven (7) days before the Annual General Meeting.

12.4 Quorum
 
 
The quorum at all General Meetings shall be at least one quarter of the total representatives nominated by the various Branch Committees of the Union. If at a General Meeting, there is no quorum, the meeting shall be postponed for half an hour, and if at such postponed meeting no quorum is present, whatever the number shall then form the quorum, but they have no power to alter, amend or make decision on any of the existing Rules, Regulations or By-Laws unless such resolution has been passed by two-thirds of those present and voting thereon.
